Application

How to Complete the Application Form

Once you have decided the course you wish to apply for, please click "Apply" and proceed to application form.

Please enter the information of the primary guest who is going to join "TRAIN SUITE SHIKI-SHIMA" trip.

*We will ask you the information about accompanying guest, after your reservation is confirmed.

Here, please select your first choice of the room type you wish to apply for.
If you also have second and third choice, please specify in "Other Request" box in the application form.

Please select the course of your choice.
If you wish to apply for more than two different courses, please apply for each trip separately.

Here, please select your first choice of the departure date you wish to apply for.
If you also have second and third choice, please specify in "Other Request" box in the application form.

Here, please select your first choice of the accommodation on the 2nd night. If you also have second and third choice, please specify in "Other Request" box in the application form.

Please let us know if you have any special dietary requirements. However we are unable to provide Halal food. We appreciate your understanding.

Please let us know if there is any health or physical condition or limitations that we should be aware of. eg. wheel chair, use a cane to walk, need insulin injections etc.

From Application through to Departure

Once you decide the departure date and the course you wish to apply, please submit the application form through our web page.
 *If there are more applications than space available, participants will be selected in a draw.
You will be notified of the selection results by E-mail, to the address you entered in the application form.
 *For more detail, please refer to "Trip application" page.

How to Modify the Application Form

If you wish to modify the detail(s) of your application, please kindly send an e-mail to "TRAIN SUITE SHIKI-SHIMA" tour desk.

 *We may ask you to re-apply, depending of the detail you wish to apply.
 *We may not be able to accept the request, depending of the time left till your departure.

Handling of Duplication Application

You may apply for ONE course in ONE application. Also, you may apply for multiple courses in the same period of time.

 e.g.) 4 Day / 3 Night, 2 Day / 1 Night (Yamanashi), 2 Day / 1 Night (Nagano)
    You may apply to all three courses.

How to Apply with More than Three Guests in One Group

If you wish to apply with more than three guests in one group, we ask you to apply per room.
Please complete the application forms per room, and be sure to specify the names of each primary guest and state that you wish to travel together as a same group in “Other Request” box. (If there is no specification, we will not be able to handle as a group)
 *Please note that the capacity of each room is two persons.

2nd and 3rd Choice of Departure Date / Room Type

If you have 2nd and/or 3rd choice of departure date / room type, please specify in "Other Request" box.
 *If you wish to apply for any departure date and any room type, please also specify in "Other Request" box.

Celebrating Special Occasion

If you are planning to celebrate special occasion, please specify in "Other Request" box. (anniversary, honeymoon, present for parents, etc.)
After the confirmation of the reservation, we will ask you for more details to assist you make your trip as memorable trip as possible.
 *Please note that this will not affect the result of the drawing.

Reservation Confirmation

If there are more applications than space available, participants will be selected in a draw.
You will be notified of the selection results by E-mail, to the address you entered in the application form.

Waiting List

If your reservation is not confirmed after drawing, you will be on our waiting list automatically.
When cancellation occurs, we will send you information regarding availability by E-mail.

Meeting Time and Ending Time at Ueno Station

Meeting time and ending time at Ueno Station is differ depending on the trip you attend.
Please refer to the chart below for your transportation arrangement.

Meeting time and ending time are subject to change.
For the guests attending the trip will be notify the latest schedule.

Accommodation Arrangement for Pre/Post Trip

We are happy to assist you with accommodation arrangement for pre/post "TRAIN SUITE SHIKI-SHIMA" trip.

THE TOKYO STATION HOTEL
The rate will be informed after your trip reservation is confirmed.

Hired Car Arrangement Service

We are happy to assist you with hired car arrangement service.
You can have smooth and relaxing transportation between your house / hotel and Ueno Station, on departure / arrival day.
The rate will be informed after your trip reservation in confirmed.
If you are traveling in Shiki-shima Suite or Deluxe Suite, hired car service (within 50km / one way from Ueno Station) is included in your travel fare.

Meals and Drinks

■ Meals
Onboard "TRAIN SUITE SHIKI-SHIMA", you will be dining at either Car 6 "DINING SHIKI-SHIMA" or Car 5 "LOUNGE KOMOREBI".
Please note that dining schedule and location is differ depending on the course you attend, and is all set.
 *However, if there is any restriction due to medication, please inform us once your reservation is confirmed.

■ Drinks
We have wide selection of wine, Japanese sake, tea, juice, etc. selected by our train crew members from Eastern Japan and Hokkaido.
We also have some wine and liquor from overseas.
All the drinks onboard is included in your travel fare, however, some drinks during overnight stay at accommodations may not be included.

Food Allergies and Other Dietary Restrictions

We try our best to accommodate the guest with food allergies and other dietary restrictions.
If you have any food allergies and/or other dietary restrictions, please inform us in advance, at least once your reservation is confirmed.
Upon receiving your information, we will contact you to ask you the details for our necessary preparation.
Please note that any allergies and/or other dietary restrictions without any information in advance, will not be able to accommodate.

Also, please note that we may not be able to accommodate all the requests due to the restriction of the cooking facilities.
"Food allergy-friendly menu" is prepared in the same kitchen as other dishes containing allergens, and uses common cooking utensils and cleaning equipment, so there is a possibility that allergens may be mixed.
In addition, the "food allergy correspondence menu" does not guarantee complete elimination of allergens.
If you feel uneasy about the environment where allergen removal is not guaranteed, we may be forced to refuse participation for the guest, giving top priority to guest safety.

Accessible Room and Guest with Wheelchair / Walking Aid

We have one accessible room in Car 4.
If you wish to request that room, please specify in "Other Request" box in your application form.

■ Usage of walking aid
Walking stick/cane can be used onboard. If you bring bigger equipment such as walker, we may ask you the size of the equipment.

■ If you bring your own wheelchair
Wheelchair up to 120cm in length and 70cm in width can be brought onboard.
 *Please ask your travel companion to assist you.
Please keep your wheelchair in your room. When traveling in a wheelchair onboard, please use our onboard wheelchair. Please note that even with the onboard wheelchair, it can be used between Car 4, Car 5, and Car 6, due to the width of the aisles and steps.

■ Wheelchair rental
As a general rule, we are not accepting rentals. *We do carry one onboard for emergency use.
During sightseeing, we take enough time to walk around and there are some space to take a break.
If you have any questions or concerns, please inform us in advance.

Dress Code

During "TRAIN SUITE SHIKI-SHIMA" trip, we have dress code to keep the atmosphere.

【Business-Casual】
 Collared shirts, blouses, jackets, sweaters, long pants such as slacks, skirts, jeans (not damaged), etc.
 * Please refrain from wearing shorts, T-shirts, tank tops, jerseys, flip-flops, etc.
 * Please use Yukata and slippers provided in your room only.
 * Please wear shoes that are easy to walk in and comfortable to wear for sight seeing.
 * Please prepare clothing that match the season and climate.
 * Winter coat and snow boots are available for you to borrow for winter course upon request.

■ Dress code for dinner time on the train

【Semi-Formal】
 Suits, jackets, blazers, dresses, two-pieces, blouses, skirts, etc.

Purchase of Original Merchandise

We have "TRAIN SUITE SHIKI-SHIMA" original merchandise for you to purchase as souvenirs.
Please check the samples displayed at Prologue Shiki-shima.
 *Major credit card and cash can be used for purchase.

Photo Shoot

During "TRAIN SUITE SHIKI-SHIMA" trip, our photographer is traveling along to take your photo.
Those photos will be used for slideshow after arrival at Ueno Station, and also for original photo book.
The original photo book will be sent to you about one month after your trip.
 *No additional cost will be needed.
 *There is no group photo shoot, and also, we will use your photo for above purposes only.

Facilities and Equipment

Room Types

"TRAIN SUITE SHIKI-SHIMA" has three types of modern Japanese style rooms, and all are twin rooms.
 *Each room capacity is for two only, and cannot be used with three or more.
Please see the link for more details.

■ Shiki-shima Suite (maisonette type) 1 room
 approx. 20u

■Deluxe Suite (flat type) 1 room
 approx. 14u

■Suite (including accessible room x1) 15 rooms
 approx. 9u

Room Facilities

Each room is equipped with shower booth, toilet, wash stand, table and closet.
Also, there are safe, refrigerator, power outlets, CD player, shoe horn, hangers, clothes brush, Yukata (night wear), slippers and hair dryer.
Shiki-shima Suite and Deluxe Suite are also equipped with Cypress bath tub.

Bath amenities in each room are the following:
shampoo, conditioner, body soap, face care set (moisturizer, lotion, facial wash, makeup remover, body lotion), towels, toothbrush & toothpaste, shower cap, cotton swabs, ear plugs, hair brush & comb, cotton pads, razor, tissue paper
 *Please note that amenities are subject to change.

Public Space

■ Observatory Cars (Car 1 / Car 10)
 All guests can enjoy the view from both ends of the train.

■ Lounge Car (Car 5)
 "LOUNGE KOMOREBI" is the entrance of "TRAIN SUITE SHIKI-SHIMA", where you get on/off at each stations.
Train crew member is always there to assist you.
 *The lounge is closed after midnight until early morning due to deep cleaning and sanitation.

■ Dining Car (Car 6)
 Your dinner will be served at "DINING SHIKI-SHIMA", please enjoy the dishes made with local ingredients.
 *We also use "LOUNGE KOMOREBI" as breakfast and lunch venue.

Smoking Onboard

All rooms and public space are No-Smoking.
If you wish to smoke, please use smoking booth located in Car 5.

TV and Radio

There is no TV or radio onboard.
If you bring your own radio, please use it in your room.
 *Please note that you may experience poor connection in some areas.

Internet Access

You can connect to the internet using in-room phone.
 *Please note that you may experience poor connection in some areas.

Luggage Space

Your luggage can be stowed in your closet.
The space can accommodate around two medium-sized suitcases and two long coats.

 *Please be aware that the luggage cannot be stored on the train outside your room.

Procedure after Reservation Confirmed

Reservation Confirmation Procedure

We will send you the necessary documents for travel application for "TRAIN SUITE SHIKI-SHIMA" by e-mail.
Participating guests are required to conclude a travel contract with our company (JR East View Tourism & Sales Co., Ltd.). The travel contract shall be concluded at the stage when the travel application form is returned and the Company receives the travel fare.
Please note that if payment of the travel fare cannot be confirmed by the deadline, we may cancel your application for the "TRAIN SUITE SHIKI-SHIMA" trip.

Payment

We accept lump-sum payment by credit card.
Further information regarding payment will be given after your reservation is confirmed.

Change of the Reservation Details

Unfortunately, we will not be able to accommodate the change of your reservation details. (departure date, course, room type, sight seeing course and off-board accommodation)
Please check carefully before you apply.

Change / Addition of the Participant

■ Change of the participant
If you wish to change the participants (primary guest/accompanying guest), only one person can be changed.
In that case, please fill out the prescribed form and submit it.
A fee of 10,000 yen will be charged for changing participants.
If both participants change from the original participants (primary guest/accompanying guest), it will be treated as a cancellation.
For details, please refer to the travel terms and conditions.
 *Due to preparation reasons, we may refuse to change the participant if the departure date is close.

■ Addition of the participant
If you are planning to participate with only one person, it is possible to add one more person during the procedure.
In that case, please fill out the prescribed form and submit it.
 *Due to preparation reasons, we may refuse to add the participant if the departure date is close.

Cancellation

A 20% cancellation fee will be charged after the 20th day counting back from the day before the departure date.
Cancellations after that will differ depending on the date of cancellation, so please refer to the travel terms and conditions for more details.

Guest Requiring Special Assistance

If you require any special assistance during the trip, please specify in "Other Request" box.
 e.g.) need written communication, been injured or sick, expecting mothers, etc.

Others / FAQ

No matter how many times I apply, I can't get it.

Since we have started “TRAIN SUITE SHIKI-SHIMA” tour, we thankfully have a lot of applications. Thank you very much for your interests in “TRAIN SUITE SHIKI-SHIMA”, and we look forward to seeing you onboard SHIKI-SHIMA.

If I apply, will there be drawing?

If there are more applications than space available, participants will be selected in a draw.
 *It is not on a first-come, first-served basis.
Please note that we cannot provide any information regarding the lottery method.

Can I request room number?

Unfortunately, we are not taking request on room number or car number.

Can I partially leave the group and go sightseeing on my own?

Except for certain free time, we ask you not to leave the group.

Can I cancel sightseeing and stay on the train?

Due to maintenance and cleaning purposes, you can not stay on the train.
However, at certain stations, you may stay on the train.
 *It is differ depending on the course, so please ask us after your reservation is confirmed.

Can I upload my photos/videos on SNS?

Please do not use photos or videos taken by yourself for commercial purposes.
When shooting, please be careful not to include other guests or staff in the image.
In the unlikely event that the content is considered inappropriate, we may ask you to correct or delete it.
